Pre-Trip Logistics
After You Receive the Group Leader/Head Chaperone Syllabus • Send enclosed parent information (application/medical forms) to all parents – instruct them to tear off and return the form – parents keep the packing list • Divide students into 3 research groups • Return all the yellow pages to the Guided Discoveries office by Fax: • Group Information Sheet • Program Planner for the type of expedition you are attending • Classroom Preparation Sheet • Statement of Understanding for group leader • Wetsuit Form • Medical Information Sheet • Meal and Birthday Planner
Three Weeks Prior to Departure
• Collect all completed applications/medical forms from students. • Separate forms by group and make cover sheets for each group-see page. • Forms are due upon arrival. • Make an identical set of medical forms to bring to the ship. • Prepare green “Telephone Contact” sheet - review all special meal and medical information – This is the last chance for special requests . • Complete Anatomy of the SSV TOLE MOUR pre-trip curriculum with students in class (optional).
Two Weeks Prior to Departure
• With green “Telephone Contact” sheet in hand, call the Guided Discoveries office (800-645-1423 or 909-625-6194) to discuss all items on the list. You must make this call AT LEAST TWO WEEKS IN ADVANCED or we can not accommodate special food requests or wetsuit sizes. Ask for the Tall Ship Coordinator. • Arrange transportation to point of departure and return. Call the office if you need assistance with arrangements. • Listen to the enclosed Sea Chanty CD and learn the words (inside cover) with your students (optional). • Review maps of departure and parking areas. • Call Program Director (310-508-0952) during phone in hours (12:30-1:30 pst) aboard the SSV TOLE MOUR to finalize your customized Program Planner. • Prepare all chaperones and assign their groups and duties. Copy and hand out pages from “Chaperone Information” section. Ask them to read, sign and return the Statement of Understanding to you – bring this to the ship. • Send home a copy of our “Student Information” section with students.
One Week Prior to Departure
• Review Ship Rules and Shipboard life pages with students. • Review “What to Bring” list with students and remind them that their bag will be in their bunk with them – conserve space – don’t over-pack! Also remind them what not to bring. • Assign specific bunks to students and chaperones -fill out the Bunk Layout diagram. Assign at least one chaperone to each of the three living quarters. The best adult bunks are #5, #25, and #35.
Day or Two Prior to Departure
• If your program begins on a Monday, do not bring a lunch! • If your program begins on Wednesday, have your kids pack a sack lunch to eat on the ferry ride to Catalina Island. • Have students learn their groups and bunk number.
Departure Day
• Bring both copies of medical forms. We need 2 copies on board. • Bring signed “Statements of Understanding” sheets for each chaperone • Remind students to take anti-seasickness medication onehour prior to departure – better to be safe than sorry. Bring saltine crackers or ginger candies for ferry ride to Catalina for trips that leave on Wednesday. • Have students make a name tag and wear it – masking tape with felt pen is fine. • Ensure students bring inhalers and prescription medications. • Bring the Bunk Layout Diagram – you will use it to move in. • Take a deep breath, relax and leave the rest to us! Remember – it’s worth it!
